Role Overview: The Tenders, Bidding, Quotations, and Proposals Specialist at SayPro (Southern Africa Youth Project) is responsible for managing the entire lifecycle of tendering, bidding, and proposal processes. This role is crucial in securing business opportunities, ensuring compliance, and driving the organization’s growth by delivering high-quality, competitive, and strategically aligned submissions. The specialist will work closely with cross-functional teams to develop, evaluate, and submit bids, tenders, and proposals that align with SayPro’s mission and business goals. 

Key Responsibilities: 

SayPro Tender Management 

  • Tender Preparation: Develop and prepare tender documents, ensuring all specifications are clear and comprehensive. 
  • Tender Issuance: Distribute tender invitations to potential bidders, ensuring wide and appropriate dissemination. 
  • Tender Submission Management: Collect, organize, and securely manage all tender submissions. 
  • Tender Evaluation: Assess submitted tenders based on predefined criteria, ensuring objective and fair evaluation. 
  • Awarding Contracts: Recommend and facilitate the awarding of contracts to successful bidders. 

SayPro Bidding Process Management 

  • Bid Strategy Development: Create effective strategies for successful bidding in competitive environments. 
  • Bid Preparation: Prepare and compile all necessary bid documents and proposals, ensuring compliance with guidelines. 
  • Bid Submission: Submit bids on time and according to specified guidelines. 
  • Bid Evaluation: Review and assess bid responses to determine suitability and competitiveness. 
  • Bid Negotiation: Negotiate terms and conditions with bidders to achieve optimal outcomes. 

SayPro Quotation Management 

  • Request for Quotation (RFQ) Issuance: Issue RFQs to selected suppliers or service providers. 
  • Quotation Collection: Gather and organize quotations from various suppliers. 
  • Quotation Comparison: Compare quotations based on price, terms, and product/service specifications. 
  • Quotation Evaluation: Evaluate and select the best quotation to meet SayPro’s needs. 
  • Supplier Negotiation: Negotiate pricing and terms with selected suppliers to ensure favorable agreements. 

SayPro Proposal Development 

  • Proposal Writing: Draft detailed proposals, including project scope, methodology, and budget. 
  • Proposal Review: Critically review and revise proposals to ensure accuracy and completeness. 
  • Proposal Submission: Submit proposals to clients, partners, or project sponsors as required. 
  • Proposal Presentation: Present proposals to stakeholders, effectively communicating key points. 
  • Feedback Integration: Incorporate stakeholder feedback into proposals, making necessary revisions.

  • Contract Management: Oversee and manage supplier contracts, ensuring compliance and performance.

  • Market Research: Conduct in-depth research to support proposal and tender development. 
  • Competitive Analysis: Analyze competitors’ proposals and strategies to refine SayPro’s bidding approach. 
  • Technical Support: Provide technical input and expertise in the development of proposals and tenders. 
  • Cost Estimation: Develop accurate cost estimates and budgets for tenders and proposals. 
  • Risk Assessment: Identify and assess risks associated with potential proposals and tenders.
