Position Title: Information Technology Facilitator 

Organization: Southern Africa Youth Project (SayPro) 

Location: South Africa 

Employment Type: Full-time 

Reports to: IT Manager 

Position Overview: 

The SayPro Information Technology Facilitator is responsible for leading, coordinating, and facilitating IT-related activities within the organization. This role plays a key part in ensuring the effective delivery of IT services, enhancing IT knowledge and skills among staff, and driving the implementation of technology solutions that support SayPro’s goals. The IT Facilitator acts as a bridge between the technical and non-technical teams, ensuring that technology is leveraged effectively to enhance operational efficiency and service delivery. 

Key Responsibilities: 

SayPro IT Training and Development  

  • Facilitate IT training sessions for staff, volunteers, and partners to enhance their knowledge and skills in technology usage. 
  • Conduct workshops on IT best practices, cybersecurity, software applications, and emerging technology trends. 
  • Develop training materials, guides, and tutorials tailored to the needs of SayPro’s staff and programs. 

SayPro Technology Integration and Facilitation 

  • Assist departments in integrating technology into their operations, ensuring that the right tools are used to achieve organizational objectives. 
  • Collaborate with program teams to identify IT needs and facilitate the adoption of appropriate software, hardware, and cloud-based solutions. 
  • Oversee the implementation of new technology projects, acting as a liaison between technical teams and users to ensure smooth transitions. 

SayPro IT Support Coordination 

  • Coordinate IT support services, ensuring that staff receive timely assistance with technical issues, software queries, and system troubleshooting. 
  • Facilitate communication between the IT support team and end-users, providing clear explanations and managing expectations. 
  • Ensure that IT-related issues are logged, tracked, and resolved efficiently through established ticketing systems or helpdesk platforms. 

SayPro Digital Literacy Advocacy 

  • Promote digital literacy across the organization by facilitating discussions, workshops, and initiatives focused on improving technology usage. 
  • Engage youth participants in SayPro’s programs, providing them with IT skills training and career development in information technology fields. 
  • Support staff and beneficiaries in understanding and using digital tools for communication, collaboration, and content creation. 

SayPro Project Management and IT Implementation 

  • Act as the primary facilitator for IT projects, ensuring that they are delivered on time, within scope, and meet business requirements. 
  • Manage IT project timelines, budgets, and deliverables, collaborating with cross-functional teams to achieve project goals. 
  • Lead stakeholder engagement sessions to gather requirements, provide feedback, and manage expectations during the project lifecycle. 

SayPro Cybersecurity Awareness and Best Practices 

  • Facilitate discussions and training on cybersecurity best practices to protect SayPro’s digital assets and sensitive data. 
  • Promote the use of secure communication channels, password management, and data protection policies within the organization. 
  • Ensure that staff are aware of common cyber threats, such as phishing, malware, and ransomware attacks, and know how to respond effectively. 

SayPro Collaboration with IT Vendors and Partners 

  • Act as a point of contact between SayPro and external IT vendors, consultants, and service providers. 
  • Facilitate communication with external IT partners to ensure effective delivery of IT products, services, and solutions. 
  • Monitor and assess vendor performance and ensure that contracts and agreements meet organizational requirements. 

SayPro Technical Documentation and Reporting 

  • Develop and maintain comprehensive IT documentation, including user manuals, system guides, and project reports. 
  • Ensure that technical processes, troubleshooting steps, and project outcomes are clearly documented for future reference. 
  • Regularly update management on IT project progress, risks, and opportunities, providing data-driven insights to support decision-making. 

SayPro IT Infrastructure and Resource Allocation 

  • Facilitate discussions on resource allocation for IT infrastructure needs, ensuring that equipment, software, and networks are properly managed. 
  • Oversee the efficient use of IT resources, including hardware, servers, software licenses, and cloud services. 
  • Work closely with the IT team to ensure optimal performance, security, and scalability of SayPro’s IT systems. 

SayPro Innovation and Emerging Technologies 

  • Facilitate discussions on emerging technologies and innovations that can be adopted to improve SayPro’s operations and service delivery. 
  • Stay updated on IT trends, cloud computing, automation tools, AI, and other innovations that could benefit the organization. 
  • Encourage the exploration and adoption of new tools that improve efficiency, collaboration, and scalability within SayPro’s projects. 

Qualifications: 

  • Education: 
  • Bachelor’s degree in Information Technology, Computer Science, or a related field. 
  • Certifications such as ITIL, CompTIA, or PMP are an advantage. 
  • Experience: 
  • Minimum of [X] years of experience in IT facilitation, project management, or a similar role. 
  • Proven track record in IT training, user support, and technology integration. 
  • Experience working with cloud platforms, enterprise software, and IT infrastructure management. 
  • Skills: 
  • Excellent communication and facilitation skills, with the ability to explain complex technical concepts in an easy-to-understand manner. 
  • Strong understanding of IT systems, networks, software applications, and cybersecurity best practices. 
  • Ability to lead workshops and training sessions, fostering learning and development in technology use. 
  • Proficiency in IT project management, with experience in overseeing technology implementation and digital transformation projects. 
  • Problem-solving skills, with the ability to troubleshoot technical issues and provide guidance on IT solutions.
